Teams under 10 have a different problem
You need enough structure to prevent missed work without turning project administration into another job. At this size, every extra status, mandatory field and meeting has a noticeable cost.
Shortlist by team shape
| Team shape | Start by testing | Why |
|---|---|---|
| 2–5 person general team | Trello | Simple visual ownership |
| 5–9 cross-functional team | Asana | More structured coordination |
| 5–9 team needing custom workflows | ClickUp | Flexible configuration |
| Software/product team | Jira | Purpose-built delivery workflows |
What matters more than feature count
Measure adoption, not demo impressiveness. Can every team member identify their next work? Can a lead see blocked or overdue items? Can the team keep the system accurate without a dedicated administrator?
Cost for a team under 10
Check current per-user pricing, minimum-seat rules, annual commitments and which features sit behind higher tiers. Include the time required to administer the platform; labour can exceed the licence cost.
A practical recommendation
For most teams under 10, test one simple option and one more structured option. Run real work through both for a week and choose the system that remains trustworthy with less effort. See our complete project management software guide for small teams.
