Quick answer
For a new team of 3–10 people that needs a genuinely usable free plan, Trello and ClickUp are the more practical starting points to investigate. Trello Free allows up to 10 collaborators per Workspace. ClickUp Free Forever allows unlimited members and unlimited tasks. Asana’s current Personal plan is limited to two users, although some older eligible accounts retain a legacy 10-seat Personal plan.

Why “free” is not the same as low cost
The relevant cost is the first paid plan your team is likely to need, plus the effort of migration and administration. A team can save subscription fees for six months and still lose money if it later has to rebuild projects, permissions and automations in another system.
Before choosing, estimate team size in 12 months and identify which paid feature would force an upgrade: more users, reporting, automation, storage, planning views or administration controls.
Trello Free: a strong simplicity benchmark
Trello publishes a 10-collaborator limit per Workspace on Free, along with unlimited cards, up to 10 boards and 250 Workspace command runs per month. That makes it a credible free option for a small team whose workflow can remain board-centric.
The question is whether the team needs capabilities that sit above the free tier. If richer views, more automation or unlimited boards become important, compare the paid cost before building a large workspace.
Asana Personal: understand the two-user rule
Asana’s current Personal plan supports up to two users. Its documentation says current Personal applies to signups after 12 November 2025, while qualifying older accounts may have a legacy Personal plan with up to 10 seats. For a new 3–10 person team, treating Asana as a free team solution would therefore be misleading.
Asana can still be a sensible product to evaluate, but a team of three or more should model the Starter tier rather than assuming Personal will cover everyone.
ClickUp Free Forever: broad allowance, different limits
ClickUp says Free Forever includes unlimited members and unlimited tasks. The important caveat is that “unlimited members” does not mean every capability is unlimited. ClickUp documents a 60MB Workspace storage allowance and usage limits for some advanced views and features.
This makes ClickUp worth investigating for teams that want more configuration than Trello, but the team should check the limits that touch its real workflow instead of relying on the word “unlimited.”
The 30-minute free-plan test
- Create one real project rather than a demo template.
- Add five tasks with owners, due dates and enough context to complete the work.
- Ask a second person to find overdue, blocked and next-priority work without coaching.
- Create one recurring or repeated process and see whether the free tier supports it cleanly.
- Check storage, automation, view and member limits against the way the team actually works.
- Price the first paid tier you would need at today’s team size and at your expected size in 12 months.
Decision framework
If your priority is a simple visual workflow for no more than 10 collaborators, start by evaluating Trello. If you want a broader configurable workspace with more than two people on a free plan, investigate ClickUp. If Asana’s structured approach fits your team, evaluate it on the assumption that a new team of three or more will need a paid plan.
This is not a universal winner ranking: the right shortlist changes with team size, workflow and which limits matter to you.
